Before you measure
Confirm the drawing issue
Record which revision you are using. Identify superseded sheets and any addenda that affect the scope.
Check scale and units
Use a known dimension. Check horizontal and vertical measurements where appropriate, and review sheets or details with different scales.
Define the scope
List inclusions, exclusions and trade boundaries. Decide how openings, deductions and repeated areas will be treated.
While you work
Make item names useful
Include enough context to identify the location and purpose. A reviewer should not need to guess what a quantity represents.
Keep units visible
Separate measured units from purchasing units. Record any conversion, waste allowance or spacing assumption used in the calculation.
Check a sample early
Compare a small area, length or count against an independent check before repeating the process across the job.
Before you hand over
Review the total scope
Check for missing items, double counting and scope boundaries between estimators. Record unresolved questions.
Make the output traceable
Include the drawing issue, quantity units, assumptions and exclusions. Agree who reviews and approves the result.
Keep a reviewable record
Retain the working takeoff and the issued output according to your business process so later revisions can be understood.
